Hood cleaning reports that show what was cleaned, and what wasn’t
Photos with captions, every component marked cleaned or not cleaned with the reason, grease depth and the next due date, signed by the manager on duty and sent before you load the truck.

Three things you stop doing
“Show me you cleaned the duct”
Photos are attached to each component. The report states which parts were cleaned to bare metal and which were inaccessible, and why.
Different frequencies for every kitchen
Set each restaurant to monthly, quarterly, semi-annual or annual cleaning. The call list shows who is due.
Missing access panels
A no-access finding stays open on the address, so you can quote the panels and the customer has it in writing.

The call list builds itself
Every customer on a cycle shows up before they are due, with the contact’s name and number. Call, book, mark it booked, and it leaves the list.

What to know for kitchen exhaust cleaning
Requirements vary by state, city and the code edition your authority having jurisdiction uses. This is a starting point, not legal advice.
- NFPA 96 sets cleaning frequency by cooking volume: monthly for solid fuel, quarterly for high volume, semi-annual for moderate and annual for low-volume operations.
- A service sticker on the hood is expected in most jurisdictions. Some AHJs also require registration or online filing for each cleaning. Check your local fire marshal.
