Florida pest control records (5E-14.142)
In Florida, Fla. Admin. Code 5E-14.142 requires pest control licensees to keep their pest control records, including contracts, at the licensed business location for at least 2 years. For restricted-use pesticides the routine records show the product brand names, amounts, uses, dates and places of application. Records are written no later than 2 working days after the application. Fumigators add the fumigant cylinder ID, and records for preventive termite treatment in new construction are kept 3 years.
What the records must hold
- Pest control records of the licensee’s activities, including contracts
- For restricted-use pesticides: product brand names, amounts, uses, dates and places of application
- Fumigation: the same details plus the ID number of each fumigant cylinder used on the structure
- Records kept electronically must be provided to the department on request
Deadlines and retention
- Written no later than 2 working days after the application; it may be part of other business records
- Kept at least 2 years at the licensed business location, or the Florida address named in the business license application
- Preventive treatment of subterranean termites in new construction: at least 3 years (section 482.051(5), F.S.)
- Shown to department inspectors on written request
Residential fumigation
For each residential fumigation the certified operator keeps clearance records: the licensee and licence number, who applied the fumigant, dates and times of introduction, aeration and final clearance testing, the site, clearance periods with the people involved, the volume fumigated, the product, and the amount of fumigant and warning agent. Fumigators use the Fumigation Log, FDACS-13000, on site, or a form with all of its information, and keep it 2 years.
WDO inspections are a different form
Written wood-destroying organism inspection findings go on the Wood-Destroying Organisms Inspection Report, FDACS-13645, with no disclaimers or added language. A service report is not a substitute.

Can my records be digital?
Yes. The rule says records kept electronically must be provided to the department on request.
